1. Introduction

AdminForge Institute LLC ("AdminForge," "we," "us," or "our") operates an on-demand professional development platform for system administrators. This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and what choices you have regarding your information. This policy applies to all visitors and users of our website and services.

By accessing our website or using our services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described here, please do not use our services.

Our principal place of business is 1881 Blake St, Suite 340, Denver, CO 80202, United States. If you have questions about this policy, contact us at privacy@adminforge.io.

2. Data We Collect

We collect information that you provide directly to us, as well as data generated automatically when you interact with our platform. The categories of data we collect include:

Information you provide: When you sign up for a trial, create an account, or contact us, we may collect your full name, email address, company name, job title, phone number, and billing information (for paid subscriptions). If you participate in lab exercises, we collect your lab activity data, progress records, and course completion status.

Information collected automatically: When you visit our website, our servers and third-party tools automatically record certain information. This includes your IP address, browser type and version, operating system, referring URL, pages visited, time spent on pages, click patterns, and the date and time of your visit. We also collect device identifiers and general geographic location derived from your IP address (city or region level, not precise coordinates).

Information from third parties: If your employer purchases team seats on your behalf, we may receive your name and work email address from your organization's administrator.

3. Why We Collect Your Data

We collect personal data for the following purposes:

  • To create and manage your account and provide access to our courses and lab environments
  • To process payments and manage subscriptions
  • To track your learning progress and issue completion certificates
  • To communicate with you about your account, trial status, course updates, and support requests
  • To send occasional marketing communications (only with your consent, and you can unsubscribe at any time)
  • To analyze how our platform is used so we can improve our courses and user experience
  • To detect and prevent fraud, abuse, or security incidents
  • To comply with legal obligations

4. How We Use Your Data

We process your data based on one or more of the following legal grounds: performance of a contract (when you sign up for our services), your consent (for marketing emails and non-essential cookies), our legitimate business interests (for analytics and platform improvement), and compliance with legal obligations.

We do not sell your personal data to third parties. We do not rent, trade, or otherwise distribute your contact information to outside parties for their own marketing purposes. Your lab exercise data and course progress are visible only to you and, if applicable, your team administrator.

5. Third-Party Services

We use a limited number of third-party services to operate our platform and understand how visitors interact with our website:

Google Analytics: We use Google Analytics to collect anonymized usage statistics about how visitors navigate our website. This includes page views, session duration, bounce rate, and approximate geographic location. Google Analytics uses cookies to distinguish unique users. The data collected is aggregated and does not personally identify you. You can opt out of Google Analytics by adjusting your cookie preferences on our site or by using the Google Analytics opt-out browser add-on.

Google Ads: We use Google Ads conversion tracking to measure the effectiveness of our advertising campaigns. When you arrive at our website through a Google ad, a temporary cookie may be placed on your device to track whether you completed a specific action (such as signing up for a trial). This data is used solely to evaluate ad performance and is not used to personally identify you. You can control ad personalization through your Google account settings.

Payment processors: When you subscribe to a paid plan, your payment information is handled directly by our payment processor. We do not store your full credit card number on our servers. Our payment processor is PCI-DSS compliant and processes your data according to their own privacy policy.

Email services: We use a third-party email service provider to send transactional emails (account confirmations, password resets) and, with your consent, marketing communications. Your email address and name are shared with this provider solely for the purpose of delivering these messages.

6. Cookies

Cookies are small text files stored on your device when you visit a website. We use the following categories of cookies:

Necessary cookies: These are required for the basic functioning of our website, such as maintaining your login session and remembering your cookie consent preference. You cannot disable these cookies without affecting site functionality.

Analytics cookies: These cookies help us understand how visitors use our website by collecting anonymous usage data. They are placed only after you give consent through our cookie banner.

Advertising cookies: These cookies are used to measure the performance of our advertising campaigns. They are also placed only with your consent.

When you first visit our website, a cookie consent banner will appear. You may choose to accept all cookies or limit your consent to necessary cookies only. You can change your cookie preferences at any time by clearing your browser cookies and revisiting the site, which will trigger the consent banner again.

7. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with our services. Specific retention periods are as follows:

  • Account data: Retained for the life of your account and for up to 12 months after account deletion, to allow for reactivation if requested
  • Course progress and lab data: Retained for the life of your account. After deletion, this data is anonymized and may be retained in aggregate form for internal analytics
  • Billing records: Retained for 7 years after the last transaction to comply with tax and accounting regulations
  • Server logs: Retained for 90 days, then automatically purged
  • Cookie data: Analytics and advertising cookies expire after 13 months. Session cookies are deleted when you close your browser

If you request deletion of your account, we will remove your personal data within 30 days, except for data we are legally required to retain.
